Where your data is kept

In short: your records are stored in Aotearoa, New Zealand. Emails are the one thing that travels: they go out through outside email services, one of them overseas.

Your records

Your register runs on New Zealand infrastructure, in an Auckland datacentre. Your trust has its own database with its own credentials – your records are not rows in a shared table alongside another trust's.

Backups

The server is backed up in full every hour by our infrastructure provider, and the website and database again every night by us. Backups are held at two separate New Zealand sites. Restoring from them is routine rather than theoretical – we go back into a backup regularly, including to trace a problem a member has reported.

Emails

Emails leave the register through outside email services. Sign-in codes, grant emails and other single emails go through Microsoft 365. Bulk emails go out through Resend, an email service based overseas: it has no sending centre in New Zealand or Australia. Each email carries the address it is going to and its message. Once an email arrives, it is held by whoever runs the mailbox it went to – for example Gmail or Outlook.com, which usually keep their mail overseas.

Who it belongs to

The register belongs to the trust, not to us. The trust can take a full copy of it, in files anyone can open, at any time.
